Job Purpose

The Training Administrator provides administrative and operational support to the training function, ensuring accurate record-keeping, efficient coordination of training activities, and prompt resolution of training-related queries in line with regulatory and organisational requirements.

Key Responsibilities

Training Administration & Support

  • Serve as the first point of contact for all training-related queries, resolving matters where possible and referring complex queries to the relevant department or individual.
  • Maintain accurate and up-to-date training records for all trainees in accordance with regulatory requirements.
  • File and manage training records to ensure easy access and effective record control.
  • Maintain an organised, user-friendly filing system for training documentation.

Training Materials & Logistics

  • Monitor training stock and stationery levels, notifying the relevant team member when replenishment is required.
  • Assist with ordering, coordinating, and distributing training manuals, printed materials, and stationery.
  • Compile trainee folders and training packs, including printing and preparing all required documentation.

Coordination & Office Support

  • Process and prepare correspondence and documentation as requested.
  • Collect, sort, distribute, and prepare mail, messages, and deliveries.
  • Compile, distribute, and file meeting minutes and reports when required.
  • Book venues and meeting rooms in support of training activities.
  • Submit travel and expense claims on behalf of team members.

Job Requirements

  • Grade 12 or equivalent qualification.
  • Minimum of 1–2 years’ administrative experience.
  • Experience within the aviation industry is advantageous.
  • Sound working knowledge of MS Excel, MS Word, and MS Outlook.
  • Knowledge and understanding of aviation training legislation is advantageous.
  • Strong administrative, organisational, and record-keeping skills.
  • High attention to detail with the ability to multitask and prioritise in a deadline-driven environment.
  • Excellent verbal and written communication skills.
