Site Supervisor – Purpose of the Role

The Site Supervisor is responsible for coordinating and supervising daily site operations to ensure efficient and uninterrupted service delivery. This role oversees driver management, fleet readiness, route planning, dispatch operations, and strict compliance with operational, safety, and administrative standards.

Key Responsibilities

Operational Management

  • Supervise and monitor driver attendance, absenteeism, and staffing levels to ensure operational continuity
  • Coordinate all driver-related matters in collaboration with the Labour Broker and Regional Manager
  • Ensure accurate recording of driver hours on weekly wage reports
  • Manage all fuel-related activities, including refueling, fuel usage monitoring, EDC/Nedfleet card control, and fuel reconciliation
  • Ensure fleet condition and compliance in line with SEC Manual standards
  • Coordinate daily route planning, vehicle loading and offloading, dispatch processes, and customer documentation handovers
  • Enforce compliance with procedures for accident claims, product claims, and vehicle breakdowns
  • Maintain regular communication with the Account Manager on all operational and distribution matters
  • Debrief driver trip sheets and reconcile them with vehicle tracking data
  • Oversee pre- and post-trip inspections, logbooks, workshop bookings, and Certificate of Fitness checks
  • Manage ad hoc vehicle and operational requirements as they arise
  • Ensure all driver documentation is valid and current, including PDPs, licenses, medical certificates, and specialist certifications
  • Monitor and control the distribution and use of PPE and uniforms on site
  • Ensure vehicle tracking systems are operational and coordinate repairs for faulty units
  • Maintain high housekeeping standards to ensure a clean, safe, and compliant site
  • Conduct monthly panic button tests for all vehicles
  • Complete and submit monthly tyre surveys
  • Ensure all deliveries comply with front-end planning requirements
  • Verify load security and safety compliance prior to dispatch
  • Secure all vehicle keys at the end of each working day

Administrative Duties

  • Compile, review, and submit all required operational reports within set deadlines, including:
    • Vehicle Utilisation Reports
    • Absenteeism Reports
    • Vehicles in Workshop Reports
    • Fleet Checklists
    • Weekly Site Reports
    • Fuel Consumption Reports
    • Vehicle Tracking Reports
    • Daily Statistics Reports
    • Fleet Control Reports
    • Management Reports covering STOs, average loading times, and out-of-area deliveries
  • Supervise the accurate completion, handover, and sign-off of all customer documentation

Customer Service & Relationship Management

  • Build and maintain strong customer relationships through consistent service delivery
  • Monitor customer KPIs and service level agreements to ensure targets are achieved
  • Compile and present customer performance reports, operational feedback, and proactively highlight challenges or constraints

Minimum Requirements

  • Grade 12 (Matric)
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
