Job Overview
The Distribution Supervisor is responsible for overseeing daily distribution operations and supporting the management of Delivery Drivers and Assistants to ensure customer deliveries are completed accurately and on time. The role focuses on optimizing routing and scheduling, monitoring operational performance, maintaining safety standards, and ensuring efficient distribution center operations. The Distribution Supervisor also ensures that operational procedures, delivery schedules, and performance targets are consistently achieved while maintaining strong communication with internal and external stakeholders.

Key Responsibilities

Operations Management

  • Support the management of Delivery Drivers and Assistants to ensure timely and efficient customer deliveries according to the delivery schedule.
  • Optimize secondary distribution performance through cost-effective routing and vehicle scheduling.
  • Manage end-to-end distribution center activities including loading, deliveries, post-delivery debriefing, customer invoicing, credit note processing, and claims handling.
  • Monitor operational KPIs and identify deviations from targets while implementing corrective actions.
  • Track and analyze delivery performance data daily to improve operational efficiency.
  • Ensure work equipment is used correctly, maintained properly, and operates at maximum capacity.
  • Maintain a safe and compliant working environment across the distribution facility.
  • Ensure accurate Stratopod delivery processing, invoicing, system security, and data integrity.
  • Support plant, distribution, supply chain, and shipping cost management initiatives.
  • Communicate effectively with frontline teams, support functions, and leadership across the business.
  • Ensure accurate execution of key account delivery plans according to scheduled timelines.
  • Control Proof of Delivery (POD) documentation and ensure no outstanding PODs on a daily basis.
  • Coordinate vehicle servicing activities in collaboration with fleet personnel.

Cost and Asset Control

  • Manage pallet control and ensure no outstanding pallets require write-off.
  • Control overtime through proper workforce and operational planning.
  • Monitor absenteeism and address workforce challenges proactively.
  • Ensure Delivery Drivers and Checkers comply with loading procedures and warehouse operational standards.
  • Maintain positive industrial relations within key account operations.
  • Implement and manage performance management processes.
  • Maintain and manage all warehouse assets efficiently.

Operational Excellence (SDCA)

  • Implement effective Standard Operating Procedures for all critical operational tasks.
  • Maintain clear Service Level Agreements across operational functions.
  • Conduct routine operational reviews and maintain consistent performance monitoring processes.
  • Limit the use of contract labor and ensure it is utilized only when justified and approved.
  • Ensure there are no outstanding Proof of Delivery documents or credit notes.
  • Deliver on established productivity and operational performance targets.

Service Delivery

  • Achieve a minimum service level of 95% fill rate.
  • Ensure at least 95% on-time delivery performance.
  • Communicate any delivery delays promptly to customers and stakeholders to manage expectations.
  • Monitor daily departure targets and report on departures by 8 AM and 9 AM.
  • Track and analyze cut case percentages and conduct monthly loss tree analysis.

Quality and Compliance

  • Manage stock rotation effectively to prevent expired or obsolete inventory.
  • Maintain inventory record accuracy of at least 95%.
  • Conduct daily inventory health checks and report findings.
  • Ensure high standards of housekeeping and hygiene across distribution facilities.
  • Ensure full compliance with health, safety, and food safety regulations and procedures.
  • Manage and track non-conforming quality issues and escalate for timely resolution.

People Management

  • Manage employee performance and implement corrective actions when necessary.
  • Identify and address training and development needs for warehouse and distribution staff.
  • Manage contract labor where required and verify documentation related to hours worked and overtime.
  • Plan and schedule shifts for warehouse employees to ensure adequate operational coverage.
  • Enforce disciplinary procedures when repeated deviations from operational standards occur.

Qualifications

  • Grade 12 / Matric or equivalent NQF Level 4 qualification.
  • Relevant tertiary qualification such as a Diploma in Supply Chain, Logistics, or a related field is advantageous.
  • Minimum of 2 years’ experience in a distribution environment within the FMCG industry.
  • Strong people management and leadership skills.
  • Analytical and problem-solving abilities.
  • Strong communication and interpersonal skills.
  • Customer service orientation with a strong drive for results.
  • Proficiency in Microsoft Office applications, particularly Excel for data analysis and reporting.
  • Familiarity with warehouse management systems and inventory control software.
  • Understanding of safety regulations and best practices within distribution and warehouse environments.
