Dispatch Supervisor – Purpose of the Role

The Dispatch Supervisor is responsible for managing and coordinating all dispatch and outbound logistics operations related to stock movement within the distribution environment. This role ensures the accurate, secure, and on-time dispatch of goods while maintaining full compliance with operational procedures, quality standards, and safety regulations. The position leads dispatch teams, monitors performance, and drives continuous improvement to enhance efficiency, service quality, and asset protection.

Key Responsibilities

Process Management

  • Ensure all Standard Operating Procedures are clearly understood, regularly trained on, and consistently followed within the dispatch function
  • Utilise business systems effectively to manage, monitor, and control dispatch activities
  • Plan and execute daily outbound dispatch schedules to meet all delivery deadlines
  • Allocate staff resources in line with expected volumes to optimise productivity
  • Coordinate picking activities to ensure dispatch targets are achieved
  • Confirm availability and readiness of materials, equipment, and resources required for dispatch
  • Maintain stock integrity and packaging standards, including compliance with product handling requirements
  • Investigate and resolve discrepancies relating to documentation, vehicles, seals, and dispatched stock
  • Liaise with Value to resolve operational issues within agreed timeframes
  • Coordinate vehicle availability to support timely dispatch operations
  • Control stock handovers in line with system and operational requirements
  • Ensure correct loading procedures and securement of goods prior to vehicle departure
  • Update and manage the Work in Progress report on a daily basis
  • Maintain accurate and up-to-date dispatch documentation and filing systems
  • Review dispatch reports, communicate outcomes to management, and take corrective action where required
  • Analyse dispatch data and implement process improvements based on performance insights

Staff Management

  • Lead, supervise, and manage dispatch staff performance
  • Plan and deploy resources efficiently to meet daily operational demands
  • Monitor and control overtime, authorising only when operationally necessary
  • Ensure all dispatch staff receive relevant and up-to-date training

Quality, Health & Safety, and KPI Management

  • Communicate, track, and report dispatch KPIs on a monthly basis
  • Drive continuous improvement initiatives across dispatch operations
  • Proactively identify and address operational risks and performance gaps
  • Ensure compliance with Quality Management System procedures
  • Raise and close non-conformance reports and improvement actions within defined timelines
  • Monitor and maintain QMS objectives and performance targets
  • Enforce Occupational Health and Safety Act requirements and ensure scheduled safety checks are completed
  • Maintain high standards of cleanliness, organisation, and order in the dispatch area

MHE and Asset Management

  • Ensure the security of the facility, stock, and assets in line with loss control requirements
  • Track and manage assets to ensure effective utilisation and maintenance
  • Ensure Material Handling Equipment is used safely, efficiently, and responsibly

Minimum Requirements

  • Grade 12 (Matric)
  • Diploma or Degree in Logistics, Warehousing, or Business Management beneficial
  • Minimum of 5 years’ experience in the logistics or warehouse environment, with at least 2 years in a supervisory or management role
