Purpose of the Job
Value Logistics is seeking a dedicated Dispatch Supervisor to manage and coordinate all dispatch-related operations within the warehouse. The role focuses on overseeing outbound logistics, ensuring goods are dispatched accurately and on time, and maintaining compliance with operational procedures and safety standards. The Dispatch Supervisor will also lead a team of dispatch staff, monitor performance indicators, and implement improvements to enhance efficiency while safeguarding the quality and security of goods and assets.

Key Responsibilities

Process Management

• Ensure all Standard Operating Procedures are clearly understood, regularly communicated, and consistently followed within the dispatch function
• Utilize relevant business systems to manage and monitor dispatch activities effectively
• Plan daily outbound stock dispatches to ensure delivery deadlines are achieved
• Allocate staff resources based on expected dispatch volumes to maximize efficiency
• Oversee and coordinate the picking process to ensure dispatch schedules are met
• Confirm availability of required materials and equipment for dispatch operations
• Ensure stock condition and packaging meet handling requirements before dispatch
• Investigate and resolve discrepancies related to documentation, vehicles, seals, or dispatched goods
• Address operational issues promptly and ensure resolution within established timelines
• Coordinate vehicle arrangements to support timely dispatch operations
• Manage the handover of stock to other departments or operations according to system procedures
• Ensure correct loading procedures and secure fastening of goods before vehicles depart
• Update and manage the Work in Progress report on a daily basis
• Maintain accurate and organized dispatch documentation and filing systems
• Monitor dispatch reports and communicate outcomes to relevant managers
• Analyse dispatch performance data and implement improvements where necessary

Staff Management

• Supervise and guide dispatch staff to maintain strong operational performance
• Plan workforce allocation to meet daily operational requirements
• Monitor overtime and authorize it only when operationally necessary
• Ensure all dispatch employees receive appropriate training and development

Quality, Health and Safety, and KPI Management

• Communicate and monitor dispatch key performance indicators, reporting progress monthly
• Promote continuous improvement initiatives within dispatch operations
• Identify and address potential operational issues proactively
• Ensure compliance with the Quality Management System procedures
• Manage and resolve Non-Conformance Reports, Non-Conformance Procedures, and Improvement Opportunities within the required timeframes
• Monitor and maintain quality objectives and operational targets
• Ensure compliance with Occupational Health and Safety requirements and scheduled safety checks
• Maintain high standards of cleanliness and organization within the dispatch area

MHE and Asset Management

• Safeguard warehouse facilities, stock, and assets according to loss control policies
• Monitor and manage assets to ensure proper usage and maintenance
• Ensure all Material Handling Equipment is operated safely and efficiently

Minimum Requirements

• Grade 12 (Matric)
• Diploma or Degree in Logistics, Warehouse Management, or Business Management advantageous
• Minimum of 5 years’ experience in the logistics or warehouse industry, including at least 2 years in a management or supervisory role

Skills Requirements

• Excellent communication and interpersonal skills
• Proficiency in Microsoft Office applications
• Experience working with operational systems such as WMS, V7, or My Business
• Strong attention to detail and accuracy
• Effective problem-solving and analytical abilities
• Strong accountability and leadership capabilities
• Sound decision-making skills in fast-paced environments
• Ability to identify and resolve operational discrepancies efficiently
