Purpose of the Job
Value Logistics is looking for a skilled Dispatch Supervisor to oversee and coordinate all dispatch operations within the warehouse or distribution facility. The role focuses on managing outbound logistics, ensuring timely and accurate dispatch of goods, and maintaining compliance with company procedures and safety regulations. The Dispatch Supervisor will lead a team of dispatch staff, monitor KPIs, and implement improvements to enhance operational efficiency while safeguarding the quality, safety, and security of stock and assets.

Key Responsibilities

Process Management

• Ensure all Standard Operating Procedures (SOPs) are understood, regularly reinforced, and consistently followed within the dispatch function
• Use relevant business systems to manage and monitor dispatch activities effectively
• Plan daily outbound stock dispatches to meet delivery deadlines
• Allocate staff resources according to expected volumes to maximize efficiency
• Oversee and coordinate the picking process to meet dispatch schedules
• Confirm availability of materials and equipment for dispatch activities
• Ensure proper handling and condition of stock and packaging
• Investigate and resolve discrepancies involving documentation, vehicles, seals, or dispatched goods
• Coordinate with relevant teams to resolve issues within 24 hours
• Arrange vehicles to support timely dispatch operations
• Control handover of stock to other departments or operations as per system requirements
• Ensure correct loading procedures and secure fastening of goods before vehicle departure
• Update and manage the Work in Progress (WIP) report daily
• Maintain accurate filing and documentation of all dispatch activities
• Monitor dispatch reports, communicate outcomes to management, and implement process improvements

Staff Management

• Lead, supervise, and guide dispatch staff to maintain high performance
• Plan resources efficiently to meet daily operational needs
• Monitor and control overtime, authorizing only when necessary
• Ensure all dispatch staff receive relevant and up-to-date training

Quality, Health & Safety, and KPI Management

• Communicate, track, and report dispatch KPIs on a monthly basis
• Promote continuous improvement initiatives within dispatch operations
• Take proactive steps to address potential issues before they escalate
• Ensure compliance with Quality Management System (QMS) procedures
• Raise and resolve Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs) within defined timelines
• Monitor and maintain QMS objectives and targets
• Uphold Occupational Health and Safety Act requirements and ensure all safety checks are conducted
• Maintain high standards of workplace cleanliness and organization

MHE and Asset Management

• Safeguard the facility, stock, and assets according to Loss Control policies
• Track and maintain assets, ensuring proper usage and upkeep
• Ensure Material Handling Equipment (MHE) is used efficiently and responsibly

Minimum Requirements

• Grade 12 (Matric)
• Diploma or Degree in Logistics, Warehouse Management, or Business Management advantageous
• Minimum of 5 years’ experience in logistics or warehouse operations, with at least 2 years in a management role

Skills Requirements

• Excellent communication and interpersonal skills
• Proficiency in Microsoft Office Suite and relevant operational systems (WMS, V7, My Business)
• Strong attention to detail and problem-solving skills
• Analytical abilities and accountability for team performance
• Leadership and management skills with sound decision-making abilities
• Ability to identify and resolve operational discrepancies efficiently
