Job Description
Fidelity is seeking a dedicated Administrator to ensure the smooth and efficient completion of all administrative duties within the assigned area. This role supports technical, operational, and sales functions while maintaining accurate records and assisting in workflow coordination.
Minimum Qualifications & Experience
- Grade 12 or equivalent
- Excellent verbal and written communication skills
- Minimum 2 years of administrative experience
- Computer literate (MS Office)
- Experience with Listener software is advantageous
Main Duties & Responsibilities
Scheduling & Coordination
- Collect and verify quotes for the allocated area.
- Check and update quotes on Listener.
- Assign quotes to technicians and prioritize calls to optimize travel time.
- Schedule jobs efficiently based on capacity and geographic location (servicing and installations).
- Contact clients to schedule and confirm appointments, including telephone technical bookings.
- Assist sales teams in booking technicians.
- Manage voiding of aged jobs and provide pipeline figures for installations.
- Schedule installations for sales teams in different regions.
- Follow up on Top 20, Low Bat, and Overactive lists to ensure timely completion.
Technical & Operational Support
- Ensure documents received from OTC are forwarded to the Technical Manager for allocation.
- Assist technicians with radio loading, testing, and technical requirements.
- Provide EHS and technical assistance to clients.
- Follow up on all jobs to ensure same-day scheduling where required.
- Support departmental efficiency by covering for absent team members.
- Order, issue, and control stock; assist with stock take and distribution to technicians.
- Assist with technical invoicing.
Administrative Support
- Coordinate and schedule meetings as required.
- Prepare agendas, take minutes, type, and distribute correspondence from the operations department.
- Maintain the Manager’s diary and filing system.
- Coordinate all operational travel and accommodation.
- Compile weekly and monthly reports.
- Screen and prioritize documentation for the Manager, obtaining required information.
- Answer and screen all calls to the Manager.
