Dispatch Supervisor – Value Logistics

Purpose of the Role

The Dispatch Supervisor is responsible for overseeing and coordinating all dispatch operations within a warehouse or distribution environment related to stock movement. The role focuses on planning and executing outbound logistics, ensuring goods are dispatched accurately and on time while maintaining compliance with company procedures and safety standards. The Dispatch Supervisor also leads the dispatch team, monitors operational performance, and drives improvements to enhance efficiency, quality, and security of goods and assets.

Key Responsibilities

Operational Processes

• Ensure all Standard Operating Procedures (SOPs) are clearly understood, regularly reinforced, and consistently followed within the dispatch department

• Utilise relevant business systems to manage, track, and monitor dispatch activities effectively

• Plan and coordinate daily outbound stock dispatches to ensure delivery deadlines are achieved

• Allocate staff resources according to operational volumes to maintain efficiency

• Supervise and coordinate the picking process to ensure dispatch schedules are met

• Confirm availability of all materials and equipment required for dispatch operations

• Ensure stock and packaging remain in good condition while following specific product handling requirements

• Investigate and resolve discrepancies related to documentation, vehicles, seals, or dispatched goods

• Communicate with relevant departments to resolve operational issues within the required timeframe

• Coordinate vehicle scheduling to ensure timely dispatch of goods

• Manage the transfer and handover of stock between departments according to system requirements

• Ensure proper loading procedures and securement of goods before vehicle departure

• Maintain and update the Work in Progress (WIP) report daily

• Ensure accurate and organised filing of dispatch documentation

• Monitor dispatch reports, analyse performance data, and communicate outcomes to management

• Identify and implement improvements to enhance dispatch efficiency

Staff Management

• Lead, supervise, and support dispatch staff to maintain high performance standards

• Plan staff resources effectively to meet daily operational demands

• Monitor overtime and authorise it only when operationally necessary

• Ensure dispatch staff receive appropriate training and development

Quality, Health & Safety, and KPI Management

• Ensure dispatch Key Performance Indicators (KPIs) are clearly communicated, tracked, and reported monthly

• Promote continuous improvement initiatives within dispatch operations

• Identify potential operational issues early and implement preventative solutions

• Ensure compliance with Quality Management System (QMS) procedures

• Ensure Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs) are raised and resolved within the required timeframe

• Monitor progress against QMS objectives and targets

• Ensure compliance with Occupational Health and Safety regulations and that all safety checks are completed as scheduled

• Maintain a clean, organised, and safe working environment

MHE and Asset Management

• Ensure the security of the facility, stock, and company assets in line with Loss Control policies

• Monitor and maintain company assets to ensure proper utilisation and care

• Ensure Material Handling Equipment (MHE) is used safely, efficiently, and responsibly

Minimum Requirements

• Grade 12 (Matric)

• Diploma or degree in Logistics, Warehouse Management, or Business Management will be advantageous

• Minimum of 5 years’ experience in the logistics or warehouse industry

• At least 2 years’ experience in a supervisory or management role

Skills and Competencies

• Excellent communication and interpersonal skills

• Strong proficiency in Microsoft Office Suite

• Experience working with operational systems such as WMS, V7, and My Business

• Strong attention to detail

• Effective problem-solving abilities

• Strong analytical and data interpretation skills

• High level of accountability and reliability

• Strong leadership and team management capabilities

• Sound decision-making skills

• Ability to identify and resolve operational discrepancies effectively
