Dispatch Supervisor – Value Logistics

About the Role
Value Logistics is seeking a highly organised and performance-driven Dispatch Supervisor to oversee and coordinate all dispatch operations within the warehouse environment. This role is responsible for planning and executing outbound logistics, ensuring the timely and accurate movement of stock, and maintaining strict compliance with company procedures and safety standards.

The Dispatch Supervisor will lead a dispatch team, monitor operational KPIs, and drive continuous improvement initiatives while safeguarding the quality, safety, and security of goods and company assets.

Key Responsibilities

Dispatch Process Management

• Ensure all Standard Operating Procedures (SOPs) are clearly understood, regularly trained on, and consistently followed within dispatch operations
• Utilise relevant business systems effectively to manage and monitor dispatch processes
• Plan and manage daily outbound stock dispatches to meet strict deadlines
• Allocate staff resources according to operational volumes to ensure efficiency
• Oversee and coordinate picking activities to meet dispatch schedules
• Confirm availability of required materials and equipment for dispatch tasks
• Maintain product integrity and packaging standards according to handling requirements
• Investigate and resolve discrepancies relating to documentation, vehicles, seals, or dispatched goods
• Address and resolve operational issues within 24 hours
• Coordinate vehicle arrangements to ensure on-time departures
• Manage the handover of stock in line with system and operational requirements
• Ensure correct loading procedures and securement of goods before vehicle departure
• Update and manage the Work in Progress (WIP) report daily
• Maintain accurate and up-to-date dispatch documentation and filing systems
• Monitor dispatch reports, communicate findings to management, and implement improvements based on data analysis

Staff Management & Leadership

• Lead, supervise, and evaluate dispatch team performance
• Conduct effective workforce planning to meet daily operational demands
• Monitor and control overtime, authorising only when operationally necessary
• Ensure all dispatch staff receive ongoing and relevant training

Quality, Health & Safety & KPI Management

• Communicate, track, and report dispatch KPIs on a monthly basis
• Drive continuous improvement initiatives within dispatch operations
• Proactively identify and resolve operational risks
• Ensure compliance with Quality Management System (QMS) procedures
• Ensure Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs) are raised and resolved within five working days
• Maintain QMS objectives and targets
• Uphold Occupational Health and Safety Act requirements and ensure all safety checks are conducted as scheduled
• Maintain high standards of cleanliness and organisation within the dispatch area

MHE & Asset Management

• Ensure facility, stock, and asset security in line with Loss Control policies
• Track and maintain company assets, ensuring proper utilisation
• Oversee efficient and responsible use of Material Handling Equipment (MHE)

Minimum Requirements

• Grade 12 (Matric)
• Diploma or Degree in Logistics, Warehouse Management, or Business Management (advantageous)
• Minimum of 5 years’ experience in the logistics or warehouse industry
• At least 2 years in a management or supervisory role
