Vehicle Monitoring Coordinator – Purpose of the Role
The Vehicle Monitoring Coordinator is responsible for supporting daily operational efficiency by monitoring vehicle activity, managing incidents and faults, and ensuring accurate reporting and communication. The role ensures procedural compliance, professional conduct, and adherence to health, safety, and housekeeping standards, while providing operational assistance to minimise vehicle downtime and support service delivery.
Key Responsibilities
Vehicle Monitoring and Incident Management
- Monitor vehicle activity according to company procedures
- Identify, record, and report deviations or exceptions promptly
- Ensure all alarms are acknowledged and addressed within required timeframes
- Respond to incidents and accidents professionally, following company protocols
Communication and Reporting
- Obtain and review daily route sheets from relevant business units
- Accurately record operational and vehicle performance data
- Compile and distribute operational reports promptly to stakeholders
- Log and report all occurrences and unusual events accurately
Fault Management and Vehicle Repairs
- Update vehicle faults daily in the system or relevant log
- Communicate faults to the appropriate personnel or departments
- Follow up with responsible parties to ensure timely and effective vehicle repairs
Operational Support
- Provide support with operational tasks and functions as required
- Maintain professional conduct when engaging with staff, customers, or external parties
- Adhere to company dress code and grooming standards in line with SOPs
Housekeeping, Health, and Safety
- Maintain a clean and orderly work area daily
- Comply with all Health and Safety regulations and follow safe working practices consistently
Minimum Requirements
- Grade 12 (Matric)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
